Why Your Administrative Assistant JD Matters
A generic job description attracts generic applicants. This is especially true for administrative roles, where the title “Administrative Assistant” covers an enormous range of actual skill levels and responsibilities. A JD that says “provide administrative support to the team” tells a candidate almost nothing and gives you no filtering mechanism.
The more specific you are about tools, tasks, expected output, and communication standards, the better the candidate quality you will see at the top of your funnel. For offshore admin hiring specifically, clarity around time zone overlap requirements, remote communication tools, and English proficiency expectations is particularly important. Candidates self-select more accurately when the JD is precise.
A well-written admin JD also shortens your screening time. When you receive 40 applications and your JD specified “proficient in Google Sheets with experience building and maintaining data entry templates,” you can eliminate unqualified applicants in the first pass rather than discovering gaps at the interview stage.

How to Adapt This Template for Offshore Admin Roles
The template above is written to work for both onshore and offshore admin hires, but a few additions make it significantly more effective for offshore hiring.
Add timezone overlap explicitly. Do not assume candidates will infer this. State the exact hours: “You will work 9 AM to 5 PM US Central Time, Monday through Friday.” Ambiguity here causes mismatched expectations that surface on day one.
Name the async communication tools. If your team uses Slack for daily updates and Loom for task walkthroughs, say so. Candidates with remote US team experience will recognize these tools; others will know what they need to learn.
Specify the country in the location field. “Remote, Philippines” or “Remote, India” helps candidates in those markets find the listing and signals you are familiar with offshore hiring. It also filters out candidates in other markets who may not have the right rate expectations.
Adjust the compensation range. Offshore admin rates differ significantly from US rates. An honest range in your JD saves time on both sides. For a mid-level Philippines-based admin, $850–$1,100 per month is a reasonable 2026 benchmark.
Skills Section Breakdown
The skills section is where precision pays off most. Here is what each requirement actually filters for and why it matters.
Data entry accuracy (error rate below 1%): This is the single most predictive requirement for admin performance. Admins who cannot hold accuracy standards under volume create downstream problems that are time-consuming to fix. Asking for a specific benchmark rather than “attention to detail” makes this testable.
Written and verbal English communication skills: For remote offshore roles, written English is especially critical. Unclear email communication creates friction with clients, vendors, and internal team members. Testing this in the application (ask for a short writing sample) or early in the interview is far more reliable than relying on the resume.
Specific tool proficiency: Naming exact tools (Google Sheets, Asana, HubSpot) rather than generic categories (“project management tools”) dramatically reduces ramp-up time. A candidate who already knows your stack is productive in week one; a candidate learning new tools while doing the job is productive in week four at best.
Self-directed work style: This is non-negotiable for offshore roles. An admin who needs constant supervision is not compatible with a remote offshore model. Test for this with a scenario question in the interview: “Your manager is unavailable for two days. You have three tasks due. Walk me through what you do.”
Red Flags to Watch for in Applications
Even with a precise JD, some unqualified applications will still come through. These are the patterns that most reliably signal a poor fit.
- Generic cover letters that do not mention the specific tools listed. A candidate who took the time to read your JD will reference your specific requirements. A candidate who did not read it carefully will not.
- CVs with vague descriptions like “assisted management” or “supported the team.” Strong admins describe their work with specificity: “Managed a filing system for 3,000 client documents across 12 categories” tells you far more than “maintained files.”
- No evidence of remote work or time zone flexibility. For offshore roles aligned to US hours, prior remote work experience is a strong signal of compatibility. Candidates who have never worked for a company in a different time zone carry higher onboarding risk.
- Applying at a significantly different experience level than stated. A candidate with 8 years of experience applying for an entry-level role is either bored and likely to leave, or misrepresenting their background. Both are problems.
How to Post and Where
Where you post determines the quality and volume of applicants you will see. For offshore admin hiring, your channels are different from standard domestic job boards.
BPO staffing partners (fastest, highest quality): A partner like Kore BPO handles sourcing, screening, and shortlisting entirely. You define the requirements and receive 2–3 pre-vetted profiles. You skip the posting, screening, and early interview stages entirely. For most US companies, this is the fastest path to a qualified hire.
Onlinejobs.ph: The largest job board for Filipino virtual and remote workers. High volume, variable quality. Expect to screen 40–60 applications to find 3–4 worth interviewing. Best used when you have bandwidth to manage sourcing yourself.
Naukri.com / Indeed India: The main platforms for Indian admin talent. Effective for mid-level to senior admin hires. Naukri has better penetration in tier-1 markets; Indeed India covers more broadly.
LinkedIn: Useful for senior admin roles or roles with a more specialized profile (e.g., executive admin, ops coordinator). Premium job posting required for good visibility in offshore markets.
What Comes After the JD
Once you have applications coming in, the JD’s job is done. Your next step is a structured shortlist based on tools match and experience level, followed by a skills assessment before the interview.
For admin roles, a short pre-screen test works well: send a 10–15 minute task that mirrors the actual job. Ask candidates to organize a small sample dataset in Google Sheets, or draft a follow-up email based on a scenario you provide. Candidates who complete the task accurately and promptly move to the structured interview.
The interview itself should include both behavioral questions (drawn from your JD’s requirements) and a live skills demonstration over video. See the companion guide, Administrative Assistant Interview Questions, for a full structured question set.

Frequently Asked Questions
Writing and Adapting the JD
Should I use the same JD for offshore and onshore admin roles? +
The core responsibilities section can be the same, but several fields need to be adapted for offshore roles: location (specify country), compensation (use local market rates), time zone overlap (state explicitly), and communication tools (name async tools your team uses). A US-targeted JD posted for an offshore hire will attract unqualified applicants and waste screening time.
How specific should the tools list be in the JD? +
As specific as your actual requirements. If your team uses HubSpot for CRM, list HubSpot, not “CRM experience.” If you use Asana for project tracking, list Asana. The more specific your tools list, the better the candidate filter and the shorter the ramp-up time for a qualified hire.
Compensation and Hiring Process
What salary range should I include for an offshore admin role? +
A Philippines-based admin in 2026 typically runs $750–$1,100 per month for entry to mid level. India-based candidates fall slightly lower, at $650–$1,050 per month for the same tier. Senior admins with specialist tool experience (Salesforce, SAP, complex CRM) command a 15–20% premium. Including a range in the JD reduces back-and-forth at the offer stage. See the Offshore Administrative Assistants Salary Guide for current benchmarks.
How many candidates should I interview for an admin position? +
Three to five qualified interviews is the right range for an admin hire. More than that introduces decision fatigue without improving quality. With a BPO partner, you typically receive 2–3 pre-screened profiles, interview all of them, and extend an offer to the best fit. Extending the search beyond 5 interviews usually signals the JD requirements need to be revised, not that more candidates are needed.
