How to Structure the Administrative Assistant Interview
A strong admin interview has three parts. Running all three in a single video session is efficient and gives you multiple data points on the same candidate.
Part 1 — Background screen (15 minutes): Confirm experience, tool history, and availability. Ask about the most demanding admin role they have held and what made it demanding. Listen for specificity. Vague answers at this stage predict vague performance on the job.
Part 2 — Structured questions (20 minutes): Use the questions in this guide, organized by category. Do not ask all 35 in one session. Pick 8–10 that match your specific role. Prioritize the categories most relevant to your actual task mix.
Part 3 — Live skills test (15 minutes): Conduct this over video with screen sharing. Open a Google Sheet or Microsoft Excel and give the candidate a short, realistic data entry or cleanup task. The goal is not to trick them; it is to see how they perform under mild observation, whether they ask clarifying questions, and whether their claimed proficiency matches their actual speed and accuracy.
For offshore admin candidates specifically, the video interview also lets you assess English verbal fluency directly, not just written proficiency. This is particularly important for roles involving email handling, client communication, or phone screening.

These five questions test decision-making under realistic pressure. There is no single right answer — you are evaluating the candidate’s thinking process, not just the conclusion they reach.
